This set of practices aims to ensure the effective updating of calendars, providing users with accurate information about availability, while also promoting transparent and direct communication through the platform.
5. Cancellation Policy
General Policy
Prioring.com understands that unforeseen circumstances may occur, which is why we have established a flexible cancellation policy to accommodate users' needs. Specific policies may vary by accommodation, and users are encouraged to carefully review cancellation terms during the booking process.
Types of Cancellation Policies
Accommodations on Prioring.com may adopt different types of cancellation policies, determined by the owners. Each policy defines the conditions under which a cancellation can be made and the associated possible refunds.
Information during the Reservation Process
During the booking process, users will have clear access to the specific cancellation policy of the chosen accommodation. We recommend that users carefully review this information before finalizing the reservation.
Refunds and Cancellation Fees
Refunds and possible cancellation fees will be governed by the policy established by the accommodation. Depending on the period in advance of cancellation and the policy adopted, users may be entitled to a full, partial or no refund.
Cancellations by the Owner
Cancellations by the owner are only valid in circumstances beyond the owner's control. Otherwise, a penalty may be applied to the owner, at the discretion of Prioring.com. In exceptional cases, Prioring.com will endeavor to offer alternative options or process refunds as appropriate.
Owner Cancellation Policy
Although owner-initiated cancellations are rare and some are beyond their control, these are situations that can disrupt guests' plans. For these reasons, if owners cancel confirmed reservations or are found liable for cancellation under this policy, Prioring.com may impose fees and other consequences. The fees and other consequences set forth in this policy are intended to reflect the costs and other impacts these cancellations have on guests and their trust in the platform. We will waive fees, and in some cases other consequences, if owners cancel due to valid circumstances beyond their control.
Cancellation fees
If owners cancel a confirmed booking or are held responsible for a cancellation under this policy, we will apply cancellation fees of a minimum of €60. The fee is based on the value of the reservation and when the reservation is cancelled:
If the reservation is canceled 48 hours or less before or after check-in, the fee is 50% of the reservation value for the unused nights.
If the reservation is canceled at any time between 30 days and 48 hours before check-in, the fee is 25% of the reservation value.
If the reservation is canceled more than 30 days before check-in, the fee is 10% of the reservation value.
When calculating cancellation fees, the reservation amount excludes taxes. If the calculated cancellation fees are less than €60, they will be increased up to that amount.
Cancellation fees are typically withheld from future payments to the owner. Other than the fees and consequences set forth in this policy, owners who cancel or are found responsible for canceling will not receive any payment for canceled reservations. If payment has already been made, the respective amount will be withheld from subsequent payments.
Situations where fees can be waived
In appropriate situations, we will waive the fees set out in this policy, for example if owners cancel due to valid circumstances beyond their control. If they believe one of these situations applies, owners must provide documentation or other evidence. We will determine whether to waive any fees and other consequences after evaluating the available evidence.
If a fee is waived, other consequences may apply, such as blocking a space's calendar.
Regardless of whether we waive any fees or other consequences, owners will not receive any payment for canceled reservations.
Other consequences
In addition to a cancellation fee, other consequences may apply, such as blocking the calendar to prevent owners from accepting other reservations for the space on the affected dates.
Canceling confirmed reservations without a valid reason may have other consequences for owners, as explained in our Terms of Service. For example, owners may have their listing or Prioring.com account suspended or removed.
When an owner is considered responsible for a cancellation
Owners may be responsible for a cancellation when it is due to conditions of the space that are substantially and materially different from the way it was described at the time of booking. In these cases, owners are subject to the fees and other consequences set out in this policy, regardless of who initiated the cancellation. Examples may include: double booking of spaces, replacement of reserved space with another property, or serious inaccuracies in listings that materially disrupt guests' stay, such as advertising a swimming pool when it is not available for use.
Other aspects to take into account
If they are unable to fulfill a reservation, regardless of the reason, owners are responsible for canceling in a timely manner so that guests have time to adapt their plans. Owners must not encourage customers to cancel reservations. Submitting false statements or materials in connection with this Policy violates our Terms of Service and may result in termination of your Prioring.com account and other consequences.
Changes to Reservations
Changes to stay dates or other booking details may be subject to the accommodation's cancellation policy. Users should review the specific conditions to ensure a full understanding of the implications of changing the reservation.
Communication during the Cancellation Process
Prioring.com encourages transparent communication between guests and owners during the cancellation process. Using the platform's messaging system can help clarify doubts, discuss options and ensure mutual understanding.
Guest Cancellation Policy:
The cancellation policy will be determined by the owner, with several options to choose from with free cancellation and full refund: up to 30 days before arrival, up to 15 days before arrival, up to 7 days before arrival, up to 48 hours before arrival and up to the check-in. After the free period stipulated by the owner, the reservation amount will be charged in full. Free date changes must be authorized by the owner. Failure to show up without prior notice will result in a full charge.
Double reservation or unavailability of the property due to the owner's responsibility
In these situations, quick action is essential to avoid inconvenience to the customer. When the problem is identified, the owner/operator must immediately contact Customer Support to find a quick and effective solution. If available, the owner must relocate to another accommodation at no additional cost, ensuring standard and amenities equivalent to the original reservation. Otherwise, it is the owner's responsibility to find accommodation of a similar or higher standard and cover the costs, including transport. If there are no alternatives nearby, the owner must contact support to look for alternative solutions, which may incur additional costs. The double booking commission will not be charged in specific circumstances: the property has been on the platform for less than 30 days or has had fewer than four double bookings in the last 12 months. Promptness and effectiveness in resolving duplicate bookings are essential to ensuring customer satisfaction and maintaining the service's reputation.
Exceptions and Special Situations
In special situations, such as emergencies or extraordinary events, Prioring.com can evaluate cases individually to determine flexible solutions, always aiming for equity for both parties.
